Where to start (opinionated): if your team runs more than 200 video screens per month and has a dedicated TA ops or HR tech resource to configure and audit the AI model, HireVue is the mature enterprise choice. If you are a mid-market team running one to three volume roles per quarter, Spark Hire costs less and takes less configuration. If your immediate problem is scheduling friction rather than AI scoring, Willo or a simple Calendly-linked video call may be faster to ship and easier to explain to candidates.

Limits and risks
- Candidate friction and drop-off: many candidates, particularly senior or passive ones, decline on-demand video screens on principle. Expect measurable drop-off on roles where candidates have alternatives. Forcing the format on executive search typically backfires.
- AI scoring is a black box by default: HireVue's AI model surfaces language and response patterns, but the specific features it weights are not visible to recruiters in the standard interface. Before relying on AI ranking to advance or exclude candidates, clarify what your contract says about explainability and audit access.
- Bias risk remains: retiring facial analysis in 2021 reduced one documented risk, but language and communication style analysis can still encode demographic bias if the model was trained on non-representative hiring pools. HireVue publishes bias audit commitments; verify they cover your use case and jurisdiction before deployment.
- Data handling at scale: video responses containing personal data, including voice recordings, require a clear DPA with HireVue and a policy on retention periods and access controls. This is a legal and security question before it is a procurement one.
- Enterprise pricing and contract lock-in: pricing is not published publicly. Contracts typically include per-seat, per-screen, or annual platform fees with implementation costs. The switching cost once candidates and hiring managers are trained on the format is real.
Practical steps
A first on-demand interview: under 60 minutes from setup to invitation
Define the competency and the question set. Pick two or three competencies from the job spec (for example: stakeholder communication, problem diagnosis, prioritisation under pressure). Write one question per competency. Keep questions to a two-minute response time limit for a first screen; longer responses add review time without proportional signal gain.
Build the interview template. In HireVue Studio, create a new interview template. Add your questions, set think time (30 to 60 seconds is standard), response time limit, and the number of allowed retakes. Enabling one retake reduces candidate anxiety without materially affecting screening quality.
Set the AI assessment threshold (if enabled). If your contract includes AI scoring, confirm with your HR tech or legal team what threshold the organisation has agreed is acceptable for automated prioritisation before a human reviews each response. The AI signal should inform reviewer priority, not replace reviewer judgement.
Send the invitation from the ATS or directly. Use the ATS integration (Greenhouse, Workday, etc.) to trigger the invitation from a candidate's pipeline stage, or send directly from HireVue. Set a response deadline of three to five business days, not 24 hours. Candidates with jobs need time.
Calibrate before you hand off to hiring managers. Before passing a review queue to a hiring manager, watch three to five responses yourself to calibrate what a strong, average, and weak answer looks like for each question. This step catches prompt failures and question ambiguity before they affect an entire cohort.
Advance or decline with a documented reason. When you advance a candidate, record why in the ATS note or HireVue review field, referencing the question and the specific response behaviour that supported the decision. When you decline, record the same. This is the audit trail.
