Make is not a replacement for your ATS or for judgment on candidates. It is the pipe between systems once the policy, the field mapping, and the approval step are clear. Teams that win automate one measurable loop first, watch the operation count against their plan, and widen scope only after the first scenario runs a full week without a failed execution.

SaaS-hosted with a free tier (1,000 operations per month as of early 2026) and paid plans scaled by volume. All credentials and logs live on Make's infrastructure, so the same DPA and subprocessor review applies as any cloud iPaaS. Where to start (opinionated): if the problem is only better wording in a doc, stay in ChatGPT or Gemini. If the problem is the same ten steps every Monday and your team has no engineering support, pilot Make with a log-only scenario first. If IT requires self-hosted data handling, start with n8n instead. If Zapier already passes DPA review with the same vendors, switching is a procurement question, not a technical one.

Limits and risks

  • Operations pricing: each module execution counts as an operation; complex scenarios with iterators or loops can exhaust a plan faster than expected. Model the operation cost before you go live.
  • SaaS-only: candidate and employee data flows through Make's infrastructure. DPA review and subprocessor sign-off are required before production use.
  • Debugging at volume: failed executions surface in the history tab, but tracing root cause in a 15-module scenario takes practice. Log intermediate outputs to a sheet until the scenario is stable.
  • No ATS judgment: Make routes what you coded. Human-in-the-loop stays mandatory on every candidate-facing action.

Practical steps

A 15-minute first scenario (log-only, no candidate email)

  1. Create a Make account in a team workspace TA ops can access, not a personal trial tied to one recruiter's inbox.

  2. Pick one trigger you can replay safely: for example a Webhook you fire manually with a test JSON payload, or a Google Sheets Watch Rows module on a sandbox tab with fake candidates.

  3. Add three modules only: trigger → Google Sheets (Add a Row) with mapped field names → Slack (Create a Message) to yourself with role, source, and timestamp. Do not attach full CV text until legal agrees.

  4. Run ten test executions. Count duplicates, empty email fields, and wrong stage values. Fix the mapping until the noise drops to zero.

  5. Add a Filter or Router that stops the path when must-have fields are missing and routes misses to a dead-letter sheet so they do not vanish silently.

Optional: add an AI module later

After the field mapping is stable, insert an OpenAI or Anthropic HTTP module that only reads already-validated fields. Log the model name and prompt version as a column in the result sheet for audit (see structured output).
